Now that the coronavirus is increasingly spreading in the Netherlands, the necessary protective measures are being taken. For example, the National Institute for Public Health and the Environment (RIVM) has determined that people should try to work from home as much as possible. The Dyflexis staff will, at least until next week, be working from home. Our Support department is still available. Demo’s and training courses are given online and other scheduled appointments will take place via telephone. Obviously, not all companies are able to have their employees work from home, including many of our customers. We’ve noticed that there are many employers who have questions regarding what they can do to protect their staff, while still ensuring business operations go well. For these companies we have formulated 3 tips that will help them with their personnel planning for the coming period!
Tip 1. Reduce employees’ working hours
The Ministry of Social Affairs and Employment (SZW) has decided that companies affected by the coronavirus can apply for a permit at the Employee Insurance Agency (UWV) that will allow them to reduce employees’ working hours. Companies do have to meet certain conditions to be eligible. It is especially important that a company can demonstrate that at least 20% of the workforce is unable to work or not expected to be able to work for a minimum of 2 to a maximum of 24 weeks, due to the coronavirus. If you apply for this permit and are a customer of Dyflexis, check with our Support Department so that we can adjust the settings in Dyflexis accordingly.
Tip 2. Determine your minimum occupancy
Due to the coronavirus, many companies suffer from less patronage, which is why they run the risk of overstaffing. This means higher personnel costs, which of course isn’t good for profits. Companies would do well to make a determination of the minimum number of staff required to ensure business operations still run smoothly. An efficient way to achieve this is to take into account the revenue you expect to make on a certain day, while scheduling your employees. Dyflexis users can utilize a forecast module to predict the turnover they will generate on any particular day. Administrators can retrieve this data during the scheduling process and use it to ensure an optimal staff occupancy.
Tip 3. Let employees register hours themselves
It is important that during these troubling times, the numbers of hours worked by employees are still registered correctly. After all, things like salary and the accrued leave balance are determined on the basis of the registered hours. A system that allows employees to register their hours themselves provides many benefits in these situations. Administrators in Dyflexis can enable a feature that allows employees to register their hours themselves via a browser or the mobile app. If you are a customer of Dyflexis, please contact our Support Department so that we can activate this function for you. As an administrator, you can then view the registered hours in the Hour Registration and approve them with the mere touch of a button.
